We only collect information you actively give us or that is strictly needed to operate the website:

• Enquiry form data — your name, email address, phone number (optional), event type, event date, guest count, services of interest, budget band (optional), any notes you add, and your marketing preference (opt-in checkbox).
• Correspondence — emails, WhatsApp messages, calls and any documents you send us while planning your event.
• Booking & delivery details — venue address, on-the-day contact, invoicing details, and any dietary or accessibility notes you share.
• Technical basics — standard server and analytics data (approximate location, browser type, pages viewed) needed to keep the site running and secure. We do not use advertising cookies or third-party trackers for profiling.

• To respond to your enquiry and deliver your event — lawful basis: performance of a contract, and our legitimate interest in replying to enquiries.
• To send occasional marketing emails (new services, offers, seasonal availability) — lawful basis: your consent, given by ticking the opt-in box on the enquiry form. You can withdraw consent at any time (see "Your rights" below).
• To keep required business records (invoices, contracts, tax records) — lawful basis: legal obligation.

We use your data only for client contact and marketing. We do not use it for automated decision-making or profiling.

Lunar Events Group Ltd does not sell, rent, trade or exchange your personal information with anyone. Ever. Your details are used solely to plan and deliver your event and, where you have opted in, to send you occasional marketing from Lunar.

All client and enquiry data is stored in a private business folder on Microsoft OneDrive (Microsoft 365 for Business), hosted in Microsoft's UK / EU data centres. This gives us encryption in transit and at rest, and enterprise-grade physical and network security operated by Microsoft.

Multi-factor authentication (MFA) is enabled on every account with access to client data. Access is restricted to employees of Lunar Events Group Ltd only, on a need-to-know basis for the purpose of planning and delivering your event.

The website itself runs on secure UK / EU hosting infrastructure. Enquiry submissions are sent over an encrypted (HTTPS) connection.

Transactional emails (enquiry confirmations, booking updates) are sent from our own verified domain via our email infrastructure. If you opt in to marketing emails, every message includes a one-click unsubscribe link and you can also email bookings@lunareventsgroup.co.uk at any time to be removed.

Suppressed / unsubscribed addresses are retained only to make sure we do not accidentally email you again.

We keep the list of third parties short and only use reputable providers that handle data on our behalf under written contracts:

• Microsoft 365 / OneDrive — document, email and file storage.
• Our website and email infrastructure providers — to host the site and deliver enquiry emails.
• Our accountant and HMRC — for statutory financial records.
• Payment providers (only when you pay a deposit or invoice) — for processing that transaction.

None of these providers are permitted to use your data for their own purposes.

• Enquiries that do not become bookings: up to 24 months, then deleted.
• Booking & client files: for the duration of the event plus 7 years to meet UK tax and accounting rules.
• Marketing subscribers: until you unsubscribe or ask to be removed.

Under UK GDPR you have the right to:

• Ask for a copy of the personal data we hold about you.
• Ask us to correct anything that is inaccurate.
• Ask us to delete your data (where we are not legally required to keep it).
• Withdraw consent for marketing at any time.
• Object to or restrict how we use your data.
• Complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

This site uses only the strictly necessary cookies required for the site to function (for example remembering your progress through the enquiry form). We do not use advertising or cross-site tracking cookies.

We may update this policy occasionally. The "last updated" date at the top always reflects the most recent version. Material changes will be flagged on the homepage or via email to affected subscribers.
